Progress Photo Consent

Your choice
Progress photos are optional. Declining a photo does not prevent a member from receiving gym training services, although it may limit visual progress comparisons. A member may choose whether to upload a profile, baseline, progress, or milestone photo.
Authorized private use
By giving private-photo permission during account setup or before a first upload, the member authorizes GymPilot Systems to store photos they choose to upload, including future uploads, and display it privately to that member, their assigned trainer, and the gym owner for coaching, progress comparison, account support, security, and backup purposes. GymPilot Systems saves that permission on the account, so a new checkbox is not required for each upload. Each uploaded photo retains a consent record. Older accounts may be asked once to confirm this ongoing permission.
No promotional release
This consent does not authorize GymPilot Systems to post a photo publicly, use it in advertising, publish it on social media, sell it, or provide it to unrelated third parties. Any public or promotional use requires a separate, specific written photo and likeness release.
Staff uploads
A trainer or owner may upload a photo only after the member—or a parent or legal guardian when required—has authorized the private coaching use described here. If ongoing member permission is already recorded, staff can use it for private uploads. Otherwise, the staff member must confirm authorization for that upload.
Withdrawal and deletion
A member may stop future photo collection or request deletion by contacting the owner or emailing GymPilot Systems. Withdrawal applies to future use after GymPilot Systems processes the request and does not undo access or processing that already occurred lawfully. Deleted files may remain temporarily in hosted backups for up to seven days and may be retained longer only when legally required.
Sensitive content and safety
Upload only appropriate fitness-progress images. Do not upload nudity, sexually explicit content, another person's image, identification documents, or unrelated private material. Photos should be taken and uploaded using a private device and secure connection.
Minors
A parent or legal guardian must authorize progress-photo collection for a member under 18. The app is not directed to children under 13.
